Job Description

Job Summary Supervise and coordinate all administrative services within a small to moderate size campus unit or a part of the services function within a larger unit. Areas of responsibility can include administrative affairs associated with human resources, purchasing, budgets and financial records and general clerical support within the unit. Responsible for setting employee goals, assessing employee performance, providing feedback, and making pay recommendations. This position will interact on a consistent basis with unit management and staff. It typically will advise and counsel unit management and staff. This position may supervise assigned staff and/or projects. Responsibilities Develop and implement unit administrative processes and procedures consistent with overall Institute administrative policy. Define and communicate administrative staff duties; monitor performance and provide feedback. Supervise the maintenance of unit financial records. Oversee unit human resources administration to include transaction processing, time reporting and records maintenance. Supervise and coordinate direct administrative support to unit management. Organize and supervise unit records management function. Coordinate unit purchasing activities, including preparation of purchasing documents, ordering and maintaining supplies, etc. Schedule and organize meetings and other events. Perform other duties as assigned. Required Qualifications Education: Bachelor’s Degree in Business Administration or related field, or an equivalent combination of education and experience. Experience: Four to five years of job‑related experience. Preferred Qualifications Education: MBA or master’s degree in a relevant field (Human Resources or HR Management, etc.). Certifications: SHRM. Experience: Four to five years of related job experience; at least three years of professional experience in a position focused on HR/Finance/Administrative Support. Professional experience in a research university setting. Relevant experience in people and team management. Knowledge, Skills & Abilities Supervisory and organization skills, knowledge of general office administrative processes and practices, records management and event planning. Working knowledge of a broad range of HR and operational functions and processes, including talent acquisition, onboarding, records management, and related areas. Use of office‑related computer applications and systems is required. Strong knowledge of HR policies and processes, including students, classified staff, and faculty (non‑tenure track).} Experience supervising and supporting the professional development of staff in operational and administrative roles. Excellent written and verbal communication skills. Ability and temperament to work with sensitive information in an executive‑level environment. Excellent customer service skills, organizational awareness, and professionalism. Proven ability to organize and prioritize multiple tasks, consistently meeting deadlines. Strong attention to detail. Ability to establish effective working relationships to successfully accomplish objectives. Expert in working independently and in a team environment. Project management. Advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint). Advanced skills in MS Outlook or similar calendar/scheduling system. WorkDay Financial and/or other financial systems. OneUSG and/or other HR systems. Familiarity with emerging AI‑enabled tools and their application in HR operations, including process efficiency, documentation, and decision support. Ability to learn and apply new software skills. Other Information This is not a supervisory position. This position does not have any financial responsibilities. This position will not be required to drive. This role is not considered a position of trust. This position does not require a purchasing card (P‑Card). This position will not travel. This position does not require security clearance.
